  • In addition to the below terms and conditions each product sold via Impacttravel.life or via direct contact with any Impact Adventure Travel Ltd channel/representative have their own cancellation and amendment terms which will be displayed at the time of booking, prior to payment.

  • Please take care to read these before confirming your booking.

  • These terms and conditions will also form part of the documentation sent to you immediately a booking is made

  • All transactions are processed via our reservations and merchant services provider Hero Travel and will be billed in Australia Dollars

Impact Adventure Travel Ltd is a UK limited liability company with registered in the England (15307612).

Financial Security:

You can book with Impact Adventure Travel Ltd with full confidence that all money paid is secure should the unforeseen occur. 

Our booking and merchant services partner, Hero Travel Ltd, holds all payments in third party managed trust until 4 weeks AFTER the beginning of any services booked through Impact Adventure Travel Ltd. This guarantees your travel or refund should Impact Adventure Travel Ltd or the tour operator cease to trade, cancel or substantially change a departure or become insolvent.

Exceptions to the above financial security statement:

Any purchased made through third party sites linked to www.impacttravel.life are not covered by the above financial arrangement. These include but not limited to insurance, flights and visa applications through third party partners. Payment will be taken directly by these partners and therefore will be bound by their cancellation/amendment and financial security arrangements. Please take note of any arrangements before making a purchase.

We take reasonable measures to protect your personal information from unauthorized access, disclosure, alteration, or destruction. However, please be aware that no method of transmission over the internet or electronic storage is 100% secure.

 

5 - Data Retention:

We will retain your personal information for as long as necessary to fulfil the purposes outlined in this Privacy Policy, unless a longer retention period is required or permitted by law.

Amendments:

Impact Adventure Travel Ltd will endeavour in all instances to provide date changes and similar amendments - as opposed to outright cancellation - at no charge from ourselves. All tours may be subject to amendment charges from the tour operators or service providers. Please take note of all amendment policies displayed at the time of booking.

Cancellation:

In addition to any charges levied by the tour operator/supplier, Impact Adventure Travel Ltd will charge the following cancellation fees. 

​

31-365 Days Before Departure - 10% of total cost.

30-0 Days Before Departure - 100% of total cost.

Travel Insurance:

Travelling without insurance poses significant risks. Impact Adventure Travel Ltd requires all bookings to be accompanied by sufficient travel insurance.

We advise purchasing insurance at the time of booking to ensure coverage for trip cancellation. Proof of insurance may be requested by operators at least 30 days before departure. Failure to do so may result in trip cancellation and applicable charges.

Understanding the coverage of your policy is crucial. Some policies may exclude certain activities such as scuba diving, bungee jumping, horse riding, or extreme sports. Others may not cover paid work or volunteering. It is your responsibility to be aware of your policy's limitations. Impact Adventure Travel Ltd cannot be held accountable if you are uninsured for an activity despite believing it was covered.

Regarding baggage, you are responsible for its safety. Adequate baggage insurance is recommended, as we cannot be held liable for loss or damage.

Ensure your possessions are adequately covered by including baggage insurance with your health insurance. Most insurers will offer a policy to cover both medical and possessions.

Passport and Visas:

Ensuring your passport remains valid and up-to-date is your responsibility. It's crucial to have a minimum of six months validity beyond your planned return date to the UK, as certain countries mandate this requirement. While we can provide guidance on visa requirements for your trip, obtaining visas is your own responsibility. We'll furnish you with the consulate or embassy contact details for visa inquiries, but it's up to you to secure the necessary visa before your travel. Please note that we cannot be held accountable if our advice becomes outdated due to recent visa changes by a country's embassy. You may opt to utilize a visa service at your expense.

We highly recommend regularly checking with relevant embassies for any recent updates. Additionally, it's essential to ensure your visa remains valid throughout your stay in a country, especially if you're booking well in advance. Regardless of your destination, having the correct entry documentation is imperative. Some countries may require vaccination certificates along with any visa required. While our Impact Adventure Travel Ltd trip advisors can offer assistance, any omissions or changes that occur are your responsibility. We encourage you to review embassy or consulate websites for each country you intend to visit for the most current regulations. If your travel plans include the USA or Canada, please be aware of special electronic travel requirements applicable to non-citizens.

Health and Safety:

Your Impact Adventure Travel Ltd travel advisor cannot issue advice about whether a trip should be booked or not on medical grounds. You are advised to see your GP before you travel and seek their advice about inoculations and medicines you might need.

If you suffer from a pre-existing medical condition (including any mental health issues) that may affect your ability to participate fully in the trip as described on the website, you must advise us at the time of booking your trip so that we can pass this information on to the trip operator..

Your tour operator may ask for a medical form to be completed by your doctor if you have any medical conditions before we can confirm your place on the programme. As such you should not book any flights or make any other travel arrangements until you have returned your medical form and your place has been approved by the operator.

If you fail to return the completed medical form, or if you only declare a medical condition to us after your booking has been confirmed, we reserve the right to cancel your place on the trip if we have concerns about your health and safety on the programme. In this case our standard cancellation terms and conditions will apply.

It is your responsibility to take any medicines you may need with you. In the event that you cannot participate in any part of the trip because of a medical condition, or you fail to disclose a medical condition to us whilst on the trip, we will not be able to refund any portion of the trip fee.

You agree that Impact Adventure Travel Ltd is not responsible for providing information or guidance with respect to local customs, travel advisories, weather conditions, specific safety concerns, physical challenges or laws in effect in any locations where a tour, product or service is operated. You acknowledge you have considered the potential risks, dangers and challenges and your own personal capabilities and needs, and you expressly assume the risks associated with travel under such conditions.

 

Our Responsibilities and Liability

Our responsibility to you is to provide you with the services that you have booked with us, whether provided by Impact Adventure Travel Ltd directly, or our overseas suppliers and subcontractors. We coordinate with overseas suppliers and subcontractors to the best of our abilities to ensure that the information we give you is correct. We will not make misleading statements and we will use care and skill in making the arrangements for your trip. Once we have provided the information about your trip to you, and you have booked, we will provide you with further details, such as specifics about airport transfers, accommodations and other matters.

We check the information that we provide to you carefully, but things can change, and any errors or omissions are inadvertent, and we cannot be held responsible for them, other than to refund you for any services which you have not received as a direct result of our negligence. We cannot be held responsible for changes made to your trip as a result of weather, political or terrorist threats or other events beyond our control.

We will update the information on the Impact Adventure Travel Ltd online customer portal, and it is your responsibility to check this for changes once we have notified you. We are not responsible where the failure to perform the services for your trip is neither due to us or our sub-contractors or suppliers but is attributable to you or a third party unconnected to us and is unforeseeable or unavoidable, or is due to circumstances beyond our control, the consequences of which could not have been avoided even if we exercised all due care and attention. We are not responsible or liable for an event which we, our employees, agents, suppliers and subcontractor could not, even with all due care, have foreseen or forestalled.

During our trips you may have the opportunity to participate in optional activities which are not included in your trip price. Impact Adventure Travel Ltd does not own, operate or control any of the companies or individuals which provide the optional activities or excursions. You are responsible for all risks associated with the transportation to/from, and your participation in, or visitation to, any place, activity or excursion not listed as an inclusion. Any assistance given by our team or the team on the ground in arranging, selecting, or booking, any optional activities is purely at your request, and we make no warranties and expressly disclaims any liability whatsoever arising from participation in optional activities. You acknowledge and agree that any liability for loss, damages, death, personal injury, illness, emotional distress, mental suffering or psychological injury or loss of or damage to property associated with any optional activities you decide to participate in is the sole responsibility of the third party providing that service or activity.

In the event you suffer a serious emergency overseas which cannot be resolved locally, you should call our UK emergency hotline which will be given to you in your pre-departure information.

Complaint procedures:

If you encounter any dissatisfaction with our services before leaving the UK, kindly reach out to your Impact Adventure Travel Ltd trip advisor via email or phone. Should the advisor be unable to address the issue to your satisfaction, please contact our Customer Service Manager by email, detailing the problem and your desired resolution. We are committed to resolving concerns fairly. Please note that when addressing complaints, Impact Adventure Travel Ltd does not accept online chats, Facebook messages, or text messages as suitable forms of communication. Please email our office at chat@impacttravel.life or contact your travel coordinator directly.

We cannot process complaints submitted by an individual claiming to represent a group. Each complainant must communicate their concerns individually.

If you believe we have failed in our services while you are abroad, kindly discuss the matter with local staff first, who will endeavour to resolve it. Should the issue persist or if local staff contribute to the problem, please contact our Customer Service Manager in the UK via email at chat@impacttravel.life, through our website, or via WhatsApp. We will make every effort to address your concerns equitably.

To enable us to take appropriate action, please notify us within 48 hours of any problem arising. Failure to adhere to this procedure will result in the inability to process compensation or refunds.

Other Conditions:

All tours have been meticulously planned months ahead, and the itineraries represent our desired objectives. However, due to circumstances beyond our control, such as weather conditions, road accessibility, or insufficient tourist interest, some tours or day trips may undergo alterations or cancellations. In such instances, we will exert every effort to substitute with an alternative trip or activity, enhancing your holiday experience.

It is imperative that you adhere to all instructions provided by Impact Adventure Travel Ltd, its staff, or representatives, and conduct yourself responsibly towards fellow group members and our staff. We shall not be liable for any damage, loss, expenses, or other consequences:

  1. Unforeseeable based on the information provided prior to booking acceptance.

  2. Not resulting from any breach of contract, fault by ourselves or our employees, or our suppliers. Additionally, we disclaim liability for any business losses.

Impact Adventure Travel Ltd will not tolerate any individual compromising the health, safety, or well-being of others or themselves, or causing damage to property.

Travel insurance covering cancellation, medical expenses, personal accidents, baggage, money, and public liability is essential prior to travel. You must carry a copy of your insurance policy during your trip.

You must furnish Impact Adventure Travel Ltd with your complete contact details (including telephone number) before traveling. We reserve the right to change staff or guides before or during your trip and modify transportation or itinerary if deemed necessary to ensure the best possible experience.

We retain the right to refuse acceptance or retention of any individual on any trip at any time and to cancel any trip before commencement for various reasons, including inadequate sign-ups or logistical issues hindering trip operations. If we cancel your trip, a full refund of all payments made to us will be offered.

Should a trip be cancelled due to insufficient sign-ups, you'll be promptly notified and offered a full refund or an alternative trip of equal value. If opting for a more expensive alternative, you'll be required to cover the difference in costs; for a cheaper option, you'll receive a refund of the difference.

Any changes to your trip before departure will be communicated in writing. In case of major changes after departure, we'll strive to inform you promptly. In the event of cancellation or significant alterations post-departure, you'll be refunded for any incomplete portion of the trip cost, aiming to process refunds within 28 days.

While we strive to provide accurate and reliable information on our website, we cannot guarantee it to be error-free or always up-to-date.

We are committed to ensuring your trip is enjoyable and memorable. Should you have any complaints regarding your trip, accommodation, or service standards, kindly notify our on-ground staff immediately for resolution.
